KURA Content Registration Procedures

KURA Content Registration Procedures

1. Content registration

The following materials can be registered in the Kanazawa University Repository for Academic Resources.

  1. Papers published in academic journals
  2. Papers and articles published in bulletins and public documents issued by the University
  3. Part or entire content of published books
  4. Thesis or Dissertation
  5. Other research papers(scientific expenses reports, COE reports, etc.)
  6. Conference papers and presentation materials
  7. Learning materials
  8. Preprints

The materials specified above can be registered if they meet all the following conditions. For more details, please read The KURA Operational Guidelines (Japanese text only).

  • Academic achievements written by faculty and graduate students, who are or have been enrolled in Kanazawa University.
  • Materials for which the permission of the copyright holder has been obtained.
  • Materials that do not violate any laws, precedents, or the Kanazawa University regulations and moral standards.
  • Materials that can safely be made public through the Network.

The library will take care of the conditions for obtaining permission for registration and copyright processing pertaining to the publisher or academic association involved. Please contact the library staff after completion of your material by following the procedure specified below. If there is any other type of material that you would like to register, please check the Periodicals and Information Resources Section(Ext. 5207 E-mail:inzassi@adm.kanazawa-u.ac.jp).

2. Registration flow

For registering the full text of papers and files in KURA, please choose one of the following methods:

【Method 1】 Send file via the File Transfer Service on the Acanthus Portal.

After pressing the below link, you will be able to send the file. The e-mail address: inzassi@adm.kanazawa-u.ac.jp, Name: Periodicals and Information Resources Section.

【Method 2】 Send files by replying to e-mail from the library staff.

 In the university library, we regularly look for new journal publications authored by our faculty in Scopus and other databases. Please cooperate with us in case we send you an e-mail to confirm the registration of your materials that are eligible for registration in KURA.

※We normally contact our faculty members when they are the primary author, final author, or corresponding author.

【Method 3】 Materials can also be sent to us by the following methods.

  • By an e-mail attachment to inzassi@adm.kanazawa-u.ac.jp(please be aware that there is a file size limit)
  • By copying the files on a CD-R and sending them via an internal delivery service(gakunai-bin) to Periodicals and Electronic Research Office, Information Planning Division, Information Department.
  • By sending a reprint of your material via an internal delivery service (gakunai-bin) to Periodicals and Electronic Research Office, Central Library.

※Please note that we cannot register materials in KURA in case publishers or academic associations do not permit registration in institutional repositories.

1. Which manuscript version to send

In case of papers published in academic journals,[A] the author's final manuscript or [B] the published version in PDF can be registered, in most cases. Below are the major tendencies:

  • Papers published in foreign journals・・・In most cases,[A] the author's final manuscript can be registered. Please note that the author's final manuscript implies the last manuscript that remains in the author's possession, and NOT the file downloaded from an electronic journal.
  • Papers published in domestic journals・・・In most cases,[B] the published version in PDF can be registered.  (i.e., the version scanned from a hard copy of the journal or downloaded from an electronic journal)

“Author's final manuscript” in the above chart implies the author's final work that has passed the reviewing process. Please note that we do not mean a reprint or a PDF downloaded from an electronic journal. This manuscript corresponds to [A] in the above chart. From now on, authors are requested to preserve the final manuscript after completion and send it to the library.

  • More than 90% of the foreign publishers, such as Elsevier, Springer, and Nature, allow the registration of the author's final manuscript in the respective university's institutional repository.
  • Some publishers and academic associations in Japan and abroad (e.g., APS, IEEE) allow the registration of their published PDF version. In that case, the published version can be registered in KURA.

The types of files that can be registered vary according to publishers and academic associations. Please note that we might ask you to send us your file in another format after the initial submission. For further information, please contact us or check websites of publishers and academic associations. Alternatively, additional information can be sought on the following sites:

2. Type of files to register

 In principle, files in KURA are stored in the PDF format. As PDF conversion is done by the library, you can send your file in any format, e.g., PDF,MS-WORD, Ichitaro, etc. We also accept charts etc. as separate files.


3. Consent of co-authors

 Papers, if possible please obtain the consent of the co-authors, especially in case the copyright lies with the authors.


4. Patents

Please complete the necessary patent applications beforehand.

3. Copyright registration for bulletin articles

  • In case the copyright ownership is transferred to the respective departments or editorial boards, we proceed with registration process after obtaining their permission.
  • In case of publications from a past bulletin whose copyrights are held by the authors, we proceed with registration after obtaining the author's permission.
